Biographical/Historical note

Organizers of the May Show

For almost 75 years the May Show served as a forum for highlighting the vitality, creativity, and variety of the arts of Cleveland and the Western Reserve. The first director of The Cleveland Museum of Art, Frederic Allen Whiting, championed craftsmanship and the support of local artists. In a January 6, 1914 report to the Board of Trustees, Whiting recommended the establishment of "an annual exhibition of Ohio born or trained artists, to be managed by a Jury and hanging committee chosen by the exhibiting artists." Influenced by Whiting's vision, The Cleveland Art Association exhibited the works of local artists in their Fifth Spring Exhibition, held at the Cleveland Museum of Art. The museum officially stepped in and organized the First Annual Exhibition of Artists in 1919. The Cleveland Art Association remained a supporter in subsequent years.

In its early years, the two offices of the museum that were most involved in organizing and operating the May Show were the Director's Office and Department of Decorative Arts. In 1972, the May Show found a more appropriate home with the creation of the Department of Modern Art. All departments of the museum, however, were involved with the operation of the May Show. The Registrar's Office was responsible for tracking works of art entering and leaving the building. The Department of Art History and Education gave numerous talks and later prepared audio-visual tapes for the May Show. Additionally, the departments of Design, Print Shop, Buildings and Grounds, Public Relations, and the Photography Studio contributed to each show.

Whiting selected William M. Milliken, then Curator of Decorative Arts, to manage the May Show. This remained one of Milliken's favorite projects throughout his long tenure as director of the museum, and he maintained an active role in the May Show until his retirement in 1958. Additional staff members assisted Milliken in his endeavors: Henry Francis, Curator of Paintings and of Prints and Drawings; Helen S. Foote of Decorative Arts; Louise Burchfield, Mary G. Ballou and Ruth Raffaeli of Paintings; as well and numerous part-time staff. Little Rick (Mrs. Paul) Smith played a key role as the "person in charge of sales" from 1919 to 1952, assisted by Julia Raymond from 1930-1943, and Mary Frackelton (Mrs. Charles B.) Gleason from 1947-1952.

Sherman E. Lee, the third director of the museum, took charge of the May Show in 1958. He delegated the majority of May Show duties to Tom E. Hinson, Assistant Curator of the Department of Modern Art, who officially began organizing the show in 1973 and continued until its closing in 1993. When Evan Turner became Director in 1983, he shifted the responsibility of organizing the May Show almost entirely to Modern Art. Hinson was assisted by Edward B. Henning, Curator of Modern Art; Margaret Wilson, Secretary of Modern Art; and Ann Tzeutschler Lurie, the Assistant, and later Associate Curator of Paintings. William E. Ward and his assistant Joseph L. Finizia, in charge of design and installation, played key roles in making the show a success. Of the numerous part-time staff that worked with Hinson, Mary Koster, Andrea Redhead, and Liz Whitaker were among the many directly involved with the May Show exhibition.

Volunteers and advisors also contributed their time. For approximately the first twenty years an advisory committee, formed by the Cleveland Art Association, aided in the operation of the May Show and encouraged the sale of artwork. Frank R. Walker first chaired the Advisory Committee in 1919, followed by Grace Harman (Mrs. S. Livingston) Mather, who served from 1919-1931. In 1941, a newly founded organization of Cleveland women who wanted to lend volunteer support to the museum, known as the Junior Council (later called Women's Council), stepped in to promote May Show and assist in its operations. The Junior Council provided volunteers to assist at the sales desk until the last show in 1993. Activity of the May Show The forum of the May Show changed with the economic climate, the demands of the artists, and the ideology of the museum's director. The exhibition began as a regional show highlighting craftsmanship in Cuyahoga County. In 1919, thirty-three categories dictated the type of art entered, with the number of categories peaking at forty-four in 1920. During the Depression, Milliken sought to use the May Show as a means for local artists and craftsman to support themselves through the sale of their work. Artists were allowed to enter up to twenty items in the crafts categories, with the museum encouraging duplicate sales.

To further aid struggling artists, Roberta Holden (Mrs. Benjamin P.) Bole, Lucia (Mrs. Malcolm L.) McBride, and Julia Raymond, members of the Advisory Committee, formed the Pick-Quick club in the 1930s. Individuals could become members when they purchased artwork at the May Show and were known by the acronym PICKLES: Painting, Illustration, Carving, Keramics, Lace, Etching, and Sculpture. Members of the Pick-Quick Club were invited to preview and purchase the many duplicates submitted by artists during this time period. In the 1950s, the Pick-Quick club previews became known as patron previews, which allowed previous purchasers, museum trustees and advisors, and members of the Junior Council to view the exhibition and select their purchases before the May Show opened to the general public.

With Sherman Lee's appointment as Director, the character of the May Show changed from being largely a crafts show offering the sale of multiple copies of objects to a highly selective art show of unique items. To encourage this transition, the museum changed the entry requirements in three important ways over a period of years. The first change, which began with new entry requirements in 1958, was the elimination of editions of crafts and the placement of a cap on the number of duplicates that could be produced, thus emphasizing the unique qualities of original works. Duplicates of crafts were completely eliminated by 1971, at which point only duplicates of graphics and photographs could be sold at the May Show.

The second change was a decrease in the number of entries allowed per artist. Before 1959, the limit on the number of entries per artist was ten and twenty entries in arts and crafts, respectively. By 1962, this had fallen to three and six in the respective categories, and was eventually limited to two entries per artist by 1969. In conjunction with the second change, the museum also streamlined the number of categories into which the artwork was divided. By 1981 the artwork was divided into only five categories.

The third major change began in 1961, with the expansion of the geographic area from which artists could enter, from solely Cuyahoga County to all thirteen counties of the Western Reserve. From 1977 to the end of the show, artists born in any of the thirteen counties could submit works to the exhibition even if they no longer lived in the region.

These changes in entry requirements increased the competitiveness of the May Show. Jury members, meanwhile, became more selective in their decisions even before all of the changes in the entry requirements had been implemented, with the percentage of accepted artwork falling from thirty percent of entries in the early 1950s to only 16 percent in 1959. The acceptance rates for works of art continued to fall, dropping to less than three percent by 1973. In 1977, the museum added an additional step in the selection process of May Show objects: artists were required to first submit slides of their artwork, and only sent the actual object if jury members chose to review it for the final selection.

The director selected jurors for the May Show during the year prior to the show. Jurors, usually not associated with The Cleveland Museum of Art, included museum directors, curators, art professionals, professors, and artists who were experts in their media. Some of the more famous artists who served as jurors included George Bellows, 1921; Edward Hopper, 1932; Georgia O'Keefe, 1937; and Ansel Adams, 1963. A complete list of jurors for each year is available in the appendix.

Jury selection was always a matter of public contention. Prior to 1958 all jurors participated in making final selections for all categories. In 1958, the museum experimented with jury specialization by adding an "Advisor on Photography to the Jury of Selection." Beginning in 1962 jurors were selected for their specialty in a particular area of art and only judged that category of the May Show. Though the division of the jurors varied over time, a separate jury usually judged the crafts divisions. Negative publicity and controversy over works of art accepted in the May Show resulted in the decision to have only museum staff jury the show beginning in 1971. After 1977, however, one or two outside jurors were brought in to give the selection a sense of balance. There were always at least three jurors to judge the artwork, with the exception of two years. In 1983 Sherman Lee served as the sole juror; and in 1993 Evan Turner fulfilled that role. For both men it was one of their final acts before stepping down from the directorship of the museum. Art and Artists of the May Show Though there were a few long-time May Show artists, the majority of those exhibiting did so no more than three times, with the May Show attracting new artists throughout its existence. Evan Turner reflected on the changes in artists between 1965 and 1993, the two years he served on the jury. "To my surprise, for I should have expected otherwise, only four of the artists exhibited then are seen this year: Solve Hallqvist, Phyllis Seltzer, and Phyllis Sloane, as well as Kenneth Bates, who was declared hors concours years ago after he had exhibited for twenty-five consecutive years. . . . Clearly, the show does have its own vitality." There were, however, some longtime important artists who had their works displayed in the May Show, including Kenneth F. Bates, who showed in crafts for a record sixty years, from 1933-1993; Clarence Carter, with works in painting, from 1933-1939; Viktor Schreckengost, with works in sculpture, batik, and illustration in 1928, 1933-1971 (except 1944-1945 and 1969); Henry G. Keller, who showed in graphics and painting in 1919, 1928, and 1933-50; Paul Travis, who showed painting from 1920-1971, Carl F. Gaertner, with paintings in the show in 1928 and 1933-1953; Edris Eckhardt who showed in various categories from 1933-1969 (except 1941), 1980 and 1984; William E. Ward, in charge of design for the May Show, also showed works from 1941-1957 (except 1945 and 1952); Vivien Abrams, who showed from 1966-1993 (except 1967, 1982, and 1983); and Sandra Amitay, who had works shown from 1977-1993.

The museum recognized superior artistic achievement through a variety of awards. The first May Show offered a Popular Vote Prize of $100 as well as cash awards for artists who won a ranked award in the different categories. By the second May Show the museum no longer offered monetary awards, although ranked certificates and medals for artists' achievements as well as honorable mentions for notable works continued to be offered. Certain special awards also appeared during the May Show's history. John A. Penton offered The Penton Medal for Excellence through the Cleveland Art Association from 1919 to 1922. The Horace E. Potter Memorial Award for Excellence in Craftsmanship was established in 1949. Perhaps because of criticism and disagreement over the ranking system, the May Show switched to unranked awards in 1961. Monetary awards were again offered in 1966. William and Elizabeth Treuhaft funded a $1000 award for painting, which in turn inspired the museum trustees to grant similar amounts for three other categories. In 1984, Robert Mann endowed a $500 prize for ceramics, which he doubled in 1987. The last special award was added in 1987, when Herbert Ascherman, Jr., funded a purchase award for photography.

In discontinuing the May Show, Bergman believed the museum would be able use its resources more effectively to promote contemporary art. The museum has continued its commitment to local artists through several exhibitions, including "Transformations in Cleveland Art, 1796 - 1946" in 1996, and "Viktor Schreckengost and 20th-Century Design" in 2000.

When asked about the future of the May Show in 2000, CMA director Katharine Lee Reid discussed her experiences working on the Chicago Area Artist's Show, which has also been discontinued. Hosting a local artist show involved "a crippling expense for the museum" in time, energy, and money; and was often met with negative publicity. Despite the criticism, many patrons and artists have been sorry to see the end of the May Show and are lobbying for its return. As one art critic stated, "Cleveland has a love-hate relationship with the May show that we're never going to get over."

Scope and Contents note

The May Show records document the Exhibition of Artists and Craftsmen of the Western Reserve. They were created by the museum departments that directly administered the May Show, mainly the Director's Office, the Department of Modern Art and the Registrar's Office. The records reflect the activity both within and between museum departments. The collection is divided into eight series determined by originating office and medium. The largest was created by the Department of Modern Art. Series descriptions provide detailed information about the contents of the records.

The Director's Office was the initial custodian of the May Show records. The files, which span the years 1919 to 1993, remain in original order. The bulk of the records, 1919-1950, consist of correspondence (incoming and outgoing) arranged chronologically. The files become sparse in 1950 with no records extant from 1951 through 1956. While May Show activities are documented continuously in the Director's office from 1957 through 1993, the content of the files shift from correspondence among the artists and jurors to more general information about the May Show. The files are labeled as correspondence but may also include press packets, bulletins, drafts, memoranda, photographs, and posters, particularly in the years following 1957.

Although the Director still wielded influence over the show, the records reflect a shift in responsibility toward Modern Art in the 1970s. The department organized a May Show office and operated it through an appointed coordinator who worked with staff members both in Modern Art and many other departments in the museum. Although the department was not formed until 1972, its precursor, Contemporary Art, contributed to the May Show effort, so some of the records pre-date the department's formation. It is also likely that records originally in the Director's Office were transferred to the May Show office when the Department of Modern Art became responsible for the bulk of the May Show work. The records in this series are arranged by record type with subject headings where appropriate. Within each subseries, the records are usually arranged chronologically.

Preparation of the yearly exhibition is illustrated in the interoffice memoranda, cost expense reports, patron and press preview events, and employment and volunteer records. Statistical information outlining the number of entrants, attendants, and sales by week provide a numerical evaluation of the May Show. Correspondence related to awards, conservation and damages, and special installation instructions address individual artists and their concerns. The original sales records for the years 1959-1967, 1976, 1990, and 1993 list the buyer, seller, artwork, and sale amount. Records of the Traveling Exhibition, though limited from 1956-1978, can be found in this series. The bulk of the records about the Traveling Exhibition date from 1972-1973. A separate series exists for the special exhibition Insight/Onsite. The collection also include the series artists' information which includes biographical materials for selected artists and index cards listing each artist and the year each entered works in the May Show. Relevant copies of The Bulletin of The Cleveland Museum of Art, located in the series of printed materials, provide the catalog for the May Show each yea except for the first three, when a separate catalog was printed. All of these materials aid in identifying artists whose works were exhibited in the May Show. The records also include press releases, photographs, invitations, newspaper clippings, and posters from the Director's Office and the Department of Modern Art. There is small number of audio and video tapes. Electronic files include six 5 ¼ diskettes from Modern Art, the files of which duplicate the paper records. The paper records reference the electronic files where appropriate. The electronic files have also been copied to the museum's server.

The May Show artist entry forms and sales records were transferred to archives and added to the collection in August 2006. The artist entry forms contain information on the objects each artist entered in the May Show and whether the objects were accepted to or rejected from the exhibition. The sales records served as the checklist for the exhibition and track sales of May Show object by both artist and buyer. Most sales records years contain gallery views where the objects are identified.

The records of the Director's office remain in original order. Folders are arranged chronologically by each May Show. All of the correspondence is filed alphabetically by correspondent name, with form letters and general information appearing at the beginning of each year. Files are sparse for the 1950s and 1960s, and records from 1951-1956 are nonexistent. Beginning in 1957, the records shift from detailed correspondence to general information about the May Show procedures. Reflecting this change, the files after 1950 are arranged strictly by date. The Director's office maintained copies of the invitation, bulletin, entry form, artist list, press releases, press luncheon, and newspaper clippings. The later files may also include some correspondence with jurors and memoranda. The everyday workings of the May Show, however, shifted to the Department of Modern Art around 1969.

The Department of Modern Art took charge of the May Show around 1969. Although the Director's Office still made high-level decisions, Modern Art performed the bulk of the duties through its May Show Office. The office maintained lists of the artwork accepted into the May Show, information on artwork sold, insurance values, conservation efforts, shipping orders and installation instructions, correspondence with artists, internal administrative correspondence, entry blanks, label copy and catalog copy, jury information, staff information, general statistics, and limited information about the Traveling Show. Tom Hinson and Edward Henning were the largest creators of records, especially when examining the correspondence, but many others contributed to the files. This section is divided into twenty-one subseries arranged by record type with subject headings were appropriate. Subseries are organized alphabetically. Within each subseries, the records are usually arranged chronologically. The box list provides a detailed description of each subseries.

This subseries consists of computer generated lists of accepted artist name, address, object information, and purchaser information (if the object was purchased at the May Show). The list includes all objects entered by accepted artists, regardless of whether the object was accepted. Researchers should also check series 4.3, Black Book Artists, which contains the list of accepted artists from 1974-1993, though it does not include object information.

Scope and Contents note

Awards were given to artists in the form of certificates, medals and cash. Congratulatory letters to award winners are filed alphabetically by year along with lists of award winners. Sporadic samples of certificates may be found in the files. Information on the Horace E. Potter Memorial Award for Excellence in Craftsmanship, Ohio Arts Council, Treuhaft Foundation, and endowment funds and funds for purchasing works are also available in sporadic years, as well as the three major cash awards provided by the museum's trustees. Information on two major purchase prizes given by B.G.R. Associates, developers of The Chesterfield in Erieview, to acquire works of art for permanent exhibition is also available. Additional information may also be filed in series 1, the chronological files of Director's office.

Reports were filed for objects that incurred damage during the period the object was in the possession of The Cleveland Museum of Art. The files consist of general reports/incident reports and memoranda from the conservation department and May Show personnel. Not all damages were documented by conservation. Correspondence 1957-1993 

Scope and Contents note

Correspondence is organized chronologically, with each year usually divided into three major subjects. A small number of subjects of particular volume or importance are located in separate folders. Administrative correspondence, the first subject, addresses individual administrative issues related to the May Show. Correspondence with the press, complaints from patrons and artists, and sales correspondence are located here. Correspondence from Tom Hinson, Edward Henning and Mary Koster forms the bulk of administrative correspondence. Records are organized alphabetically within each folder.

The second subject, artists' correspondence, addresses individual artists' concerns regarding their entries. The correspondence covers a variety of topics, including discussions of the May Show entry requirements, additional information about artwork entered in the May Show, changes in entries or sales status, confirmation of the pick-up or drop-off of entries, and damages inflicted on pieces of art. Records are arranged alphabetically within each folder. In 1984, the May Show office began maintaining a separate file consisting solely of correspondence with artists concerning the retrieval of their artwork. This file, along with entry cards of the artists who never claimed their artwork, is located at the end of this series. Pick-up correspondence before 1984 and some after that date is also located within the more general artists' correspondence. Requests for entry blanks, common in the correspondence before 1980, was moved into a separate file beginning with 1980, and is located in series 2.8.1.

Interoffice correspondence, the final major subject heading, includes examples of entry blanks, lists of accepted entrants, lists of purchases, memoranda to offices, schedules of the show and statistical information about the show. Handwritten notes from May Show staff are sporadically located throughout the folders.

Scope and Contents note

At the close of the show letters were written to artists regarding the retrieval of their entries. Artwork that was not picked up was destroyed. The list from 1956 documents objects dating back to 1931 being given a final chance for retrieval. Beginning in 1957, objects were disposed of on a preset date at the conclusion of the show. Information about unclaimed art or May Show leftovers can also be found in the artists' correspondence and artists' "pick-up" correspondence in series 2.5, and in series 1, the chronological files of the Director's office.

Scope and Contents note

A sales receipt was issued for each object sold at the May Show. The receipt identifies the purchaser and the artist's name and piece. However, the copy retained by the museum does not always list the price of the art object. The only original receipts in the collection are for the years 1958-1968, 1976, and 1990. Sales slips that provide the name of the artist, the object bought, and the signature of the purchaser, are available from 1959 to 1967. Lists of all patrons' purchases are available for 1986-1989 and 1993. Photocopies of postcards sent to artists notifying them of the purchaser of their piece of art are available for the years 1980 and 1983-1984. These cards list the names and addresses of the artists and the names and addresses of the buyers, but do not include sale prices for the object sold. Finally, the subseries contains index cards that list the artist's name and all of the buyers of duplicates of artwork. These cards also do not always list the price of the artwork for sale. Sales slips for 1969 and 1971-1973 can be found in the records of the Registrar's office (accession A1999-017). Additional receipts for artwork purchased from 1974-1993 are located in the records of the finance division (A1997-000).

The 75th Anniversary of The Cleveland Museum of Art prompted a search for artists for the exhibition Insight/Onsite. The materials in this series were created by various offices in the museum, though Modern Art was primarily responsible for organizing the exhibition. Invitations to apply were sent out to a large number of artists, including all past May Show entrants. The artists' applications, first and second round qualifications, final selections, and biographies of accepted artists comprise the first subseries on artists' information. Administrative files, including information on installing and dismantling the exhibits, catalog copy, project notes, thank you notes, individual correspondence with participating artists, and budget information make up the second subseries.

Information regarding artists in the May show was collected first by the Director's office and then Modern Art. The records have been divided into three series: entry cards, which give the years the artist entered, although not entirely complete; biographical information provided by the artist; and the list of Black Book artists, which provides the names and addresses of accepted artists, beginning in 1974. This series provides a good starting point for researchers attempting to find information on individual artists in the May Show. The catalog/bulletin in Series 5 also serves as a quick reference to participating artists. Researchers may also examine entry cards for the years 1919-1923, in a separate collection from the Registrar's Office. The complete set of entry forms and acceptance and rejection notices, also maintained in the Records the Registrar's Office, provides the most definitive information regarding the acceptance and rejection of works submitted in the May Show.

The May Show office solicited biographies from accepted artists by sending each artist a brief biographical questionnaire. The biographies of accepted artists were requested, but not always submitted. Artists occasionally submitted photographs or additional information with their biography sheet. The single sheet provides the following: name, date and place of birth, primary media, art training, exhibitions in which the artist's work has been shown, collections which now include the artist's work, awards received, and the present position of the artist. Scope and Contents note

The May Show was a well-publicized exhibition, both through materials distributed by the museum and through local newspapers. This section, broken down into five subseries, combines the publicity materials and newspaper clippings from the Director's Office and the Department of Modern Art. Invitations and press releases, the first two subseries, represent information publicly distributed by the museum. The May issues of The Bulletin of The Cleveland Museum of Art, and the individual publications for 1919-1921, in subseries 5.3, served as catalogs to the May Show, providing lists of exhibitors and photographs of award-winning works. Newspaper clippings, subseries 5.4, were gathered from the local newspapers announcing the opening of the exhibit and focusing on individual local artists. The last subseries contains scrapbooks of newspaper clippings compiled by May Show artists. Press packets, press releases and other publicity materials can also be found in the Director's Office files. The records contained in this series do not represent a comprehensive collection of all publicity materials and newspaper clippings regarding the May Show. Later catalogs list artists' name and work by category. Award winners are highlighted at the beginning of the catalog. Photographs of award winning objects are often, though not always, featured. Bulletins began appearing with press packets. This subseries also includes the first three catalogs for the May Show, which were published separately from the Bulletin. All Bulletins are also available in the library and archives general reference collections.

Scope and Contents note

Newspaper clippings cover the call for entries, opening remarks, and artists in focus from local newspapers. Also included are Burrelles public television and radio announcements. Clippings from all series have been combined to avoid duplication. Articles covering both individual artists and the May Show in general may also be found in the clipping files in the Ingalls Library. The clippings are arranged chronologically with multiple articles/multiple dates filed first. Articles of unknown date are filed last.

Scope and Contents note

This series contains materials brought together from the exhibition files, which were compiled from various departments in the museum. Departments including Education and Marketing and Communications produced supporting materials to publicize the May Show. The records, divided into three subseries, contain audiotapes and videotapes, radio talks transcribed to microfilm, photographs, and posters. The majority of the photographs are either gallery views of the May Show or photographs of specific artwork displayed in the May Show, usually the prize-winning works. Object photographs are also included in The Bulletin of The Cleveland Museum of Art, in Series 5, and photographs of gallery views are also available in the records of the Registrar's office.

Audio recordings were made for the years 1975-1989. As of October 1999, recordings from the years 1985-1989 have been transferred to audiocassettes to allow playback. The audiocassette tapes discuss the material in the May Show catalog, from the history and background to highlights and individual pieces of award winners. Museum associates Edward Henning and Tom Hinson in interviews with Sherman Lee, Jay Hoffman, Nancy McAfee, Roland Rubrkraut and others present the information. Transcripts of early radio broadcasts, ca. 1934-1951, are located with the microfilmed collections.

This subseries includes object, gallery and various photographs from the May Show. The object photos are of award-winning pieces and may also appear in the Bulletin. The bulk of object photographs date from 1972 to 1990. The gallery view photos, 1959-1983, are from the Director's office. Gallery view photographs, 1919-1993, are also available in the records of the Registrar's office (accession A1998-014). Researchers interested in viewing these photographs should ask for assistance from the archives staff. Slides of the works are available for the years 1983-1987. Miscellaneous photographs of the Junior May Show, Traveling May Show, long-time May Show artists, and various other photographs provide additional visual documentation of May Show history.

Scope and Contents note

The artist entry forms contain artist contact information; the titles, category and sale price for each object entered; and whether the object was accepted to or rejected from the exhibition. The entry forms date from 1919 to 1993 and are arranged chronologically. From 1919 to 1923, the entry forms are 3x5 cards. From 1924 to 1993, the entry forms are pages of varying sizes. For the artist entries from 1919 to 1922, the cards are arranged alphabetically. For 1923, the cards are arranged by an assigned number from 0 to 6500. The 1924 to 1993 forms are arranged chronologically by year. Within each year, the forms are separated into accepted and rejected entries. Since an artist could submit multiple objects, forms found in the accepted section may also include objects that were rejected. All objects on forms in the rejected section were rejected by the jurors. Within the accepts and rejects there may be subdivisions for first or second round judging, and/or by object category. Forms are filed alphabetically by artist within each division.
